1. What We Do
MenuMentors Ltd provides nutritional services and dietary advice for the public to improve their health through diet and lifestyle changes. We focus on preventative healthcare and the optimisation of health. MenuMentors Ltd also provides corporate and educational services (menu audits, menu planning, advice guides, etc.). MenuMentors collects your personal data in order to provide you with the service you have requested. We respect your privacy and in accordance with EU legislation we have created this Privacy Statement to disclose our personal data collection, use and storage practices.
2. What personal data do we collect?
Depending on the type of communication or transaction, the personal information we collect may include, but is not limited to, your name, contact details, age, gender and email address.
3. How do we collect and use your data?
We need to collect and process your personal data to provide you with the content or service that you have asked to receive. We may also use the information to gain a better understanding of your needs and provide a more personalized online experience and keep you informed on other relevant information such as our programs and products, We may also contact you directly in specific instances, for example to respond to your queries. We will not collect any personal data from you we do not need, to provide and oversee the service you have asked to receive.
We collect such data both directly from you and indirectly from third party processors that we use to acquire and process your data. A list of these third parties with links to their privacy policies can be found below. Specifically the data we collect is as follows:
• Web contact form and email
If you contact us using the contact form on the website the data is collated into an email and sent to us the Simple Mail Transfer Protocol (SMTP). Our email service is provided by our hosting company GoDaddy. No data is stored by the website. To protect your information, we use an industry standard security protocol called Secure Sockets Layer (SSL) to encrypt the transmission of sensitive information between you and our website. Your email message will only be read by designated MenuMentors staff.
• Bespoke menu plans
When buying a bespoke menu plan we ask you to fill in a questionnaire form providing personal data such as name, contact details, health, lifestyle and diet details. The questionnaire will be provided to you as a download and you will be requested to send the form back to us by email. Details of how emails are handled is outlined above. The data you provide to us will be held securely on DropBox.
Following completion of your bespoke menu plan we are required by our professional association (BANT) to hold your data for 7 years. This enables us to process any complaint you may make. In this instance, the legal basis of our holding your personal data is for ‘contract administration’.
• Newsletter Sign-up
When you use the website sign-up form for the newsletter your email address is not stored on our website, but is forwarded to MailChimp whom we use for email marketing services. Your email address will remain in MailChimp’s database for as long as we continue to use their services for email marketing or until you specifically request removal from the list. You can ‘unsubscribe’ using the link shown at the foot of every Mailchimp based correspondence that you receive from us.
You can prevent cookies from being installed by altering the settings of your browser software. We would point out, however, that this may prevent you from making full use the website’s functions. By using this website you agree that the data about you collected by the third party service providers may be processed as described above and for the purpose described above.
• E-commerce transactions and payments
MenuMentors uses WooCommerce to deliver its ‘sales cart’ i.e. any paid elements of our services/activities. WooCommerc e will store basic information for customers (such as name, email, address) on the website database. To keep track of what a customer has in their cart, WooCommerce makes use of 3 cookies. No personal information is stored within these cookies:
• ‘woocommerce_cart_hash’ and ‘woocommerce_items_in_cart’ help WooCommerce know when the cart data changes
• ‘wp_woocommerce_session’ contains a unique code for each customer so that it knows where to find the cart data in the database for each customer.
MenuMentors Ltd does not collect or hold any payment information but uses PayPal (a secure third party provider) to process any financial transactions.
• Data Processing
Any personal data collected is primarily processed by the designated MenuMentors staff. Your personal data is not shared with or sold to third parties for marketing purposes. We will keep information about you confidential. We will only disclose your information with other third parties with your express consent with the exception of the following categories of third parties:
– Our professional association, BANT, for the processing of a complaint made by you
– Any contractors and advisors that provide a service to us or act as our agents on the understanding that they keep the information confidential
– Anyone to whom we may transfer our rights and duties under any agreement we have with you
– Any legal or crime prevention agencies and/or to satisfy any regulatory request if we have a duty to do so or if the law allows us to do so.
4. How we store your data?
We undertake at all times to protect your personal data, including any health and contact details, in a manner which is consistent with our duty of professional confidence and the requirements of the General Data Protection Regulation (GDPR) concerning data protection. We will also take reasonable security measures to protect your personal data storage.
This website is built in WordPress and hosted by GoDaddy. All online transactions are done on a secure server. This means that information entered on any transaction page is encrypted using SSL (Secure Socket Layer) before transmission.
• Third parties
As described above some of your information is located on servers provided by the third-parties. Some of the servers that host your personal data may be located in countries (including the United States) that do not provide a level of data protection equivalent to that of your home country. We will take appropriate steps to make sure that our service providers act in accordance with applicable law.

5. What your rights are?
You can ‘unsubscribe’ from the mailing list at any time by clicking on the relevant links that are included in our Mailchimp email communications.
Every individual has the right to see, amend, delete or have a copy, of data held that can identify you, with some exceptions. You do not need to give a reason to see your data. If you would like to invoke any of the above rights then please write email firstname.lastname@example.org. Under special circumstances, some information may be withheld. We shall respond within 28 working days from the point of receiving the request and all necessary information from you.
From time to time, MenuMentors Ltd may revise its privacy practices to address changing technology, security measures and website functionality. We will strive to provide you with timely notice of these changes. Please contact us if you have any questions about changes to our practices.
